Why FreshBooks invoices go to spam (and how to fix it)
FreshBooks sends invoice emails from its own addresses, not from your email account. You can change the reply-to address on some plans, but the email itself still comes from FreshBooks.
Why it happens
- Fake invoices imitate FreshBooks. Scammers send lookalike invoice emails, and company spam filters respond by treating real ones with suspicion too.
- No history with your customer. Your customer's mailbox trusts people they've emailed with, not a shared invoicing sender.
- Strict company mail rules. Larger customers often quarantine bulk senders where the recipient can't see them.
Fixes, easiest first
- Ask customers to check junk and quarantine, and to mark FreshBooks emails as safe.
- Set your reply-to address (on plans that allow it) so replies reach you.
- Send the PDF from your own mailbox. Download the invoice and email it from Outlook or Gmail. It lands best, but it's manual.
- Automate the send. A connector can send each FreshBooks invoice from your Outlook address and mark it sent. That's what we're gauging interest in (see below).
